How Gina Dallison Coaching collects, uses and protects your personal information. Last updated 17 September 2026.

Who we are

Gina Dallison Coaching (“we”, “us”) is a transformational life coaching practice based in Rugby, Warwickshire, United Kingdom. Gina Dallison is the data controller for the personal information described in this policy. You can contact us at ginadallisoncoaching@gmail.com or on 07887 570600.

What information we collect

We only collect information you choose to give us:

  • Enquiries — when you email us or use the contact form, we receive your name, email address, phone number (if given) and the content of your message.
  • Discovery calls and sessions — when you book a call through TidyCal or become a client, we hold your name, contact details, booking times and, with your agreement, session recordings and written notes.
  • Diagnosis Rewritten — when you join via our Google Form, we collect your name, email address and your consent to be contacted, stored in a Google Sheet.
  • Technical information — our hosting provider (Vercel) processes basic connection data such as your IP address to serve the website securely. We do not use analytics or advertising trackers.

How we use it, and our lawful basis

  • To reply to your enquiry and arrange a discovery call — legitimate interests and, for clients, performance of a contract.
  • To deliver coaching, including recordings and notes you can revisit — performance of a contract, with recordings made only with your agreement.
  • To keep you informed about Diagnosis Rewritten, episodes and resources — consent, which you can withdraw at any time.
  • To keep the website secure and available — legitimate interests.

Coaching conversations are confidential. Anything you share in a session stays between us, except where we are required by law to disclose it or where there is a serious risk of harm.

Who we share it with

We never sell your information. We use a small number of trusted services to run the practice, each of which processes data under its own privacy terms: Google (Gmail, Forms and Sheets), TidyCal (booking), Zoom (sessions), and Vercel (website hosting). Some of these providers may store data outside the UK; where they do, they rely on recognised safeguards such as the UK International Data Transfer Agreement or adequacy regulations.

How long we keep it

Enquiry emails are kept for up to 12 months after our last contact. Client records, recordings and notes are kept for the duration of our work together and for up to 24 months afterwards, unless you ask us to delete them sooner. Diagnosis Rewritten contact details are kept until you unsubscribe or ask to be removed.

Your rights

Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. To exercise any of these rights, email ginadallisoncoaching@gmail.com. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.

We may update this policy from time to time. The date at the top shows when it was last changed. Continued use of the website after an update means you accept the revised policy.
